Import Labels and Values in Workflow

The import feature in Workflow lets you pull in existing status columns from your board, so you don’t have to recreate everything from scratch. It’s a quick way to save time and maintain consistency, especially when adding Workflow to boards that already have a defined structure.
The Difference Between Import Labels and Import Values
Import labels allows you to bring existing status labels from other status columns within your board into the Workflow app. This is particularly useful when you have predefined stages or statuses that you want to incorporate into your new workflow without manually recreating each one. Imported labels are visible directly in the ‘Edit Workflow’ screen.
Import values enables you to import the actual data entries (items) from an existing status column into your new Workflow column. This means that not only the labels but also the current status values assigned to each item can be transferred, preserving the state of your workflow items.
Import Status Column Labels
- Once the Workflow column is installed, click on one of the gray boxes to open the menu, then click ‘Edit Workflow’.

- Click on ‘Import labels’ on the left side of the screen. Choose the labels from the column you would like to import, then click ‘Import’.

- Note: Workflow will automatically replace the default labels if you import new labels with the same color. If you do not import new labels with the default colors (red, yellow, green), the default labels will remain in the Workflow workspace.
To add new labels directly from the Workflow editor:
- Click ‘Add Label’ in the lefthand Workflow editor.
- Insert the new label name.
- Choose the label color.
- Click Create label.

- Pro tip: You can also change label names directly from the editor by clicking on the label name in the left side list and renaming the label.

Import Values Into the Workflow Column
- To import values from an existing column into your Workflow column, click ‘Import Values’ at the top of the screen. You can import all of the values or filter to import only the values that meet certain requirements.


- Note: You can import values of up to 200 items at a time. If you have more, repeat the import process as needed.
- Pro tip: In large boards, it may take some time to import labels and values. You can see an estimated import time so that you’ll know exactly what to expect every step of the way.
