Submission forms often serve as the bridge between people and work, connecting customers, teammates, and partners sharing information that needs to land in the right place. In monday.com, WorkForms handle simple submissions well. But as workflows grow, forms stop being just an entry point and start becoming part of the process itself, requiring advanced logic, conditions, and services that go beyond Workforms’ limited functionality.

That’s when teams begin looking for a way to collect information without breaking how work already runs. In this article, we’ll break down three SuperForm use cases as discussed in our SuperForm Masterclass.

The Challenge

Many teams start with monday.com forms to bring information into a board, but quickly run into limitations once the workflow moves beyond initial submission.

One of the biggest issues is updating existing items. Native monday.com forms are designed primarily for creating new entries. While response editing exists on Enterprise plans, it comes with limits on how often items can be edited and which fields can be changed. Teams often end up with duplicate items, workarounds, or complicated automations just to handle basic scenarios like approvals, order changes, or follow-up details.

Logic is another common pain point. monday.com forms can show or hide fields based on previous answers, but that logic stops at the form itself. You can’t base questions on live data from other boards, such as values from connected items or mirror columns, making it hard to guide users based on real context.

There are also limits around the types of data forms can handle. While monday.com continues to add support for more column types, forms still don’t cover many real-world needs, especially when working with time-based data, dependencies, or more structured inputs.

Finally, native forms don’t support pre-filling fields or pulling live data from other boards. That means users often re-enter information that already exists elsewhere in the account, increasing manual work and the risk of mistakes.

Together, these gaps make it harder to collect complete, accurate information, especially once forms become part of an ongoing workflow, not just a one-time entry point.

The Solution

SuperForm was designed to go beyond the limitations of monday.com’s native WorkForms and deliver a faster, more intuitive form experience for both respondents and teams collecting data. The app gives all users access to update forms and data collection from columns like Formula and Mirror columns that are not supported by Workforms. SuperForm also supports rich content like custom images, embedded iFrames, videos, and contextual instructions directly within the form, so that forms guide users instead of confusing them. With pagination and multi-column layouts, SuperForm reduces cognitive overload, keeps people moving forward, and ultimately drives higher completion rates.

CRM Use Case

Leads coming in from lead-generation campaigns, like Facebook, often include only basic details such as a name and email address. While these details are enough to create a lead, this information isn’t sufficient for qualification, prioritization, or follow-up. Oftentimes, teams need an easy way to collect additional details after the lead already exists in their CRM, without creating duplicate records or requiring manual entry.

SuperForm lets teams update existing items using secure, unique form links connected to each individual lead. Once a lead enters the board, a personalized update form link is automatically generated and shared with the prospect.

When the lead opens the form, they see their own details (such as name and email) displayed as view-only for context, followed by custom questions designed to gather the missing information. Required fields ensure critical data is collected, while pagination breaks the form into clear steps, making form completion easier and more comfortable than ever.

Data Collection in the Field

Another advantage of SuperForm over Workforms is the ability to add information more comfortably from the field when computer access isn’t readily available. While some users rely on the monday mobile app to update boards directly, it doesn’t always fit on-the-go workflows. SuperForm offers a faster, more practical alternative with a mobile-friendly form that lets users capture data the moment they need to.

From their phone, users can quickly fill out required fields, add notes, and upload images, including images taken on the spot and uploaded instantly. All submitted information updates the existing item in monday.com automatically, making it easier for field teams, implementers, and technicians to keep records accurate without slowing down their work.

SuperForm also adapts to different working styles. Users can access a unique update link for a specific item, or use a single shared form that displays multiple assigned items in one place. By filtering items by group or ownership, each team member sees only the items relevant to them without juggling multiple links or searching through boards. This makes it easy to move through several client visits in a day using one simple entry point.

With full control over form behavior such as required fields, view-only columns, conditional questions, and visibility rules, teams can design forms that match exactly how work happens in the field

Order Forms Use Case Using Sub-items

A third extremely popular SuperForm use case focuses on collecting orders using sub-items, which function as sub-forms within an item. The item-level in this use case is the order, and the sub-items are the products in the order.

To use SuperForm as an order form, start by creating a board with all the information you need to collect such as products, quantities, preferences, and notes.

Order details can also be pulled in automatically from other boards using Mirror columns. To show the total price, add a Formula column that calculates the total based on item price and quantity.

For final confirmation, you can include a signature field in the SuperForm so customers or clients can sign and approve the order.

If your clients or customers may want to update their orders, you can send them a custom SuperForm built in update mode which will enable them to update their order details without entering the monday.com board. Because the form updates an existing item, all order data stays connected to the original record, ensuring clean tracking and accurate follow-through.

Like all SuperForms, order forms can be built with custom logos, multiple columns (such as First Name next to Last Name), and well as with pagination, to keep customers moving easily through the form without getting overwhelmed.

SuperForm Features Used in This Use Case

SuperForm is for teams that have outgrown “one-size-fits-all” forms. If you need people to update real items, collect field data reliably, support sub-items, and guide users with logic, SuperForm provides the best way to get the job done within monday.com.
