How ATI Manages Estimates and Project Approvals Nationwide with Workflow
ATI Restoration is one of the largest restoration companies in the United States, with over 70 offices nationwide and more than $600M in annual revenue. Founded over 35 years ago, the company specializes in emergency restoration services, from flood and fire response to mold remediation and full construction rebuilds. As part of their expansion, ATI recently centralized parts of their operations and integrated monday.com and spot-nik apps to streamline mission-critical workflows.
The Challenge
When ATI formed a Central Estimating Team, they needed a scalable intake system to handle remote estimate requests from field teams across the country. They built their system on monday.com, but quickly ran into roadblocks.
The lack of native functionality in monday.com like required fields, role-based permission rules, and automation checkpoints, meant that estimate requests were going unassigned, unapproved, and getting stuck in the wrong status. ATI needed structure, process enforcement, and a system that would ensure no estimate falls through the cracks.
The Solution
Vito and his team turned to spot-nik’s Workflow app to build a two-tiered process that would create a smoother estimate and project completion process:
1 – An Admin Workflow to intake, qualify, and assign estimate requests
2 – A WIP (Work-in-Progress) Workflow for contractors to carry the job to completion
Each stage is now carefully configured with the proper safety nets in place:
- Only specific roles can transition between statuses
- Required fields must be completed before advancing
Now, if someone skips a step, the system won’t let them proceed, guaranteeing no detail is missed, no task is forgotten, and no estimate is stalled.
The result? A process that runs smoothly and automatically. Automations integrated into the workflow keep deadlines on track. Notifications go out on time. Every estimate moves forward with complete, accurate information so that ATI project managers don’t need to chase down missing data or fix broken handoffs. Workflow didn’t just organize ATI’s process, it protected their revenue, reduced rework, and gave leadership total visibility into every moving part of the operation.

The Critical Details
Before Workflow, ATI’s overwhelming boards caused bottlenecks and human error. With over 200 columns, 100+ automations, and multiple departments relying on timely updates, a single missing piece of information could cause a domino effect of miscommunications, delays, and lost revenue.
By combining Workflow’s required fields and custom permissions, ATI eliminated those risks. Every automation now runs reliably because the inputs are complete and verified before advancing to the next stage. Every notification reaches the right person because required permissions ensure only approved users can confirm status changes.
As an added value, Workflow’s step-by-step visual flow gives manager and company leadership new visibility into where bottlenecks happen so that they can step in to refocus their teams and reduce delays that may impact profits.
For ATI, Workflow isn’t just a process improvement tool. It’s a revenue safeguard, a compliance enforcer, and a data integrity engine, all rolled into one.
