When you’re building or sharing a form that collects sensitive or critical info, security isn’t optional. SuperForm offers several form restrictions for monday.com forms, including password protection, CAPTCHA verification, pre-set expiration dates, and more, so that you can restrict your monday.com form and protect it in the most secure way possible. This guide explains SuperForm security and form restriction options with step-by-step instructions and real-world use cases, so that you can choose the option(s) that will best meet your needs.

All SuperForm security and form restriction options can be configured in the right navigation, in the restrictions tab.

Save as Draft

When toggled on, this form security setting will allow drafts to be saved automatically until they are submitted so that users will not lose their submission if they navigate away from the page or forget to press submit.

Edit Only by Board Owners

When this setting is toggled on, only board owners can configure the SuperForm. Use this monday.com form restriction to make sure that nobody accidentally changes the form’s format, restrictions, or configurations in any way.

  1. In the right sidebar, access the form’s Restrictions tab
  2. Under Security Settings, toggle on Edit only by board owners

Enable CAPTCHA Protection

Add a CAPTCHA confirmation to block spam bots and prevent automated submissions.

  • Access the form’s Restrictions tab
  • Under Security Settings, toggle on Allow Captcha

Password Protection

With SuperForm password protection, only users who enter the correct password can view and submit forms.

How to set up SuperForm password protection

  • In the SuperForm builder, click the Restrictions tab on the right side
  • Enter your desired password
  • Note: Configuration of form passwords is available to board owners only.

Use Cases

  • HR forms for internal use only (e.g., job application feedback).
  • Client onboarding forms with NDA-bound content.
  • Beta signup forms meant only for a selected group of users.

Set a Form Expiration Time

Use this feature to automatically disable SuperForm submissions at a specific time. Users attempting to access the form after the expiry time will receive a message explaining that the form has expired.

How to configure a SuperForm expiry time

  • Access the form’s Restrictions tab
  • Under Form Availability, toggle on Limit form in time range.
  • Insert the date and time the form should expire.

Use Cases

  • Event RSVPs with a strict deadline
  • Time-sensitive requests (e.g., ordering company swag or taking meal orders)
  • Limited-time surveys after an event

Limit the Number of Responses

This feature closes the form automatically after a set number of submissions.

How to limit the number of responses

  • Access the form’s Restrictions tab
  • Under Form Availability, toggle on Response limit
  • Enter the maximum number of responses you want

  • Exclusive offers with a limited quantity (e.g., “first 50 respondents”)
  • Event signups with limited availability
  • Program applications with a fixed cohort size.

Lock Specific Items

With this SuperForm restriction, users can prevent the editing of specific fields by locking them. 

How to lock specific items

  • In the Form Builder, click on the settings widget for the column you want to lock
  • Under Allow Field Edit, make sure Allow Edit is not clicked

Use Cases:

  • Pre-filled client data you want shown but not changed.
  • Team assignments that only admins should control.

Restrictions Per Item

SuperForm makes it possible to update existing monday.com items directly through your form. To restrict updated items:

  • Navigate to the Integration Center and look for Superform – Updates per item
  • Choose the automation recipe that best meets your needs
  • This will create a unique form link for each item on your board
  • Once these individual links are created, you can add specific restrictions to update item links, including:
  • Note: Restrictions on the item form only apply when using a unique link to the item. This means that:
    • If someone accesses the item through the preview and searches for it, the restrictions will not apply.
    • If a link is generated via an automation and then used to access the item, the restrictions will be enforced.

Limit by Status

As the name implies, this feature lets you control whether a form is available or not, based on the item’s status.  To do this, navigate to the Restriction Per Item section in the right side bar. 

  • Toggle on Limit by Status 
  • Configure the criteria upon which you want to restrict your form from the options provided

Password Per Item

Generate unique passwords for each item in your board by toggling on Password per item.

  • Navigate to the Restrictions tab
  • Choose to set the password per item based on any of the options offered in the dropdown menu

Response Limit Per Item

With this toggle, you can configure how many times a specific item update can be submitted.

Limit Form With Date

Use this option to configure a specific time range in which your form can be configured. The form will not be available outside of the selected date range.

  • Pro tip: To generate individual passwords, response limits per item, or date ranges add a text column to your board (one for each security type), add the information into the column, and configure it in the restrictions tab.

Final Tips

  • You can combine multiple SuperForm protections (e.g., password + expiry + CAPTCHA) for extra security.
  • Always test your form before sharing to make sure all protections work as expected.
  • Keep your board access settings aligned with form settings for full control.
