How to Manage Company Finances in monday.com

Managing financial operations in monday.com becomes increasingly complex as companies scale. What often begins as a simple system often turns into a network of approvals, dependencies, and sensitive decisions.

The Challenge

Many teams encounter the same issues: financial data ends up spread across multiple boards, approvals rely on manual confirmations, and things get stuck without proper ownership. Even when visibility exists, control is often missing. Without controlled processes, errors occur, approvals get delayed, and accountability is lacking.

The Solution

A combination of organized dashboards and thoughtfully-designed workflows creates a practical and successful combination of visibility, ownership, and controlled processes. The solution has two key elements:

  • The Invoice & Billing Management template in the monday Template Center was designed to pull in your existing financial data while providing a full view of all your most important and sensitive information.
  • The Workflow app which allows monday.com users to create a system that ensures every financial action follows a defined path, with the right permissions, required data, and clear ownership at every stage.

The result is a controlled, transparent process that supports both daily execution and long-term financial oversight.

The Foundations

At the center of the system is a high-level dashboard that consolidates all financial activity into a single, easy-to-understand view. Rather than switching between boards, finance teams and leadership can see the current state of the business at a glance using an out-of the box, ready-to-use Invoice and Billing template.

  • Note: To download the template, navigate to the monday Template Center and search for Invoice. You will see the Invoice & Billing template by spot-nik. Click on the template, then Use template, and the boards will be automatically added to your workspace.

The dashboard brings together revenue tracking, expense management, and an overall financial health view. Teams can monitor incoming payments by stage, track outgoing payments alongside upcoming timelines, and see a combined picture of cash flow and actual cash on hand.

Filters make it possible to shift from a high-level overview to more detailed analysis by month, quarter, or year, without rebuilding reports or duplicating data.

Any dashboard is only as good as the data that feeds it. In this use case, a centralized Contacts board acts as the single source of truth for all clients, vendors, and partners. Each contact is linked directly to related invoices, allowing teams to trace any transaction back to its source without relying on scattered information.

From this foundation, financial operations are split into two controlled workflows, based on additional boards: Accounts Receivable and Accounts Payable. Each board is designed to reflect real financial processes while enforcing specific rules to keep the process organized.

The Accounts Receivable Board

Incoming payments must be managed in a transparent way so that neither payments nor outstanding invoices get lost in the shuffle.

In a common accounting workflow, invoices progress through Draft, Sent for Approval, Issued, and Paid. While the structure itself is straightforward, the value comes from how strictly it is enforced.

To keep things under control, the Workflow app allows users to set required fields that must be completed before moving forward, to limit invoice approvals to CFO only, and to ensure that only the finance team can mark invoices as Paid. Team members are only able to advance parts of the process where they have adequate permissions, which removes guesswork and reduces mistakes.

If any required information or permissions are missing, the system blocks the workflow from moving forward. This ensures that incomplete or incorrect invoices never advance through the process.

The Accounts Payable Board

To keep processes aligned and easy to follow, outgoing payments follow a similar structure, with additional controls that reflect real-world financial authority.

In this use case, invoices move through Draft, Sent for Approval, Approved, Executed, and Paid. Approvals are governed by both role and amount. With custom conditions, team leaders are limited to approving payments up to $2,000, while the CFO can approve payments of any size. If a user attempts to approve payments beyond their authority, the system prevents the action immediately.

Additional safeguards are built into the workflow itself. Roles cannot be altered mid-process, approval paths adjust automatically based on invoice value, and each stage is governed by strict permissions. This ensures that financial rules are enforced directly within the system rather than relying on manual oversight.

Creating Flexibility + Control

Financial workflows need to handle exceptions without introducing risk.

This system allows items to be placed on hold or canceled at defined stages, while still protecting critical points in the process. Once an invoice reaches the “Paid” status, no further transitions are allowed, preventing duplicate actions or inconsistencies.

This balance allows teams to adapt to real scenarios without compromising the integrity of their financial data.

  • Pro-tip: In the event of a mistake or emergency, board admins can use Workflow’s Admin Mode to manually change statuses.

The Results

With this system, financial management shifts from a collection of disconnected actions into a carefully-controlled, easy-to-manage system.

Instead of chasing updates, teams have real-time visibility into where all invoices and payments stand, and who is responsible for them at any given moment.
