This SuperMail how-to guide provides clear, step-by-step instructions for setting up and using SuperMail to send emails directly from monday.com. Whether you’re sending a one-off message or creating automated sequences, you’ll find everything you need to get up and running quickly and confidently.

Add SuperMail to Your Board

  • Add the SuperMail view on your monday.com board by going to Board views → Explore more views.
  • Search for the SuperMail view.

Create a New Email Template

  • Choose the Text-Based Editor or HTML (drag and drop) Editor depending on your design needs, then click the Create template button.
  • The text-based editor allows you to write emails just like in any email provider (Gmail/Outlook etc.) including rich text, adding images or GIF files, and using the “Change Status button”.
  • The HTML editor allows you to design a newsletter with graphics, buttons and more. You can also insert full HTML code. 

To Create a Text-Based Template

  • Add your email directly into the editor
  • Insert dynamic content from the right sidebar such as links to board items, user name, date, formulas, and more.
  • Pro tip: Use SuperMail AI (available in the text-based editor only)  to generate professional emails from a simple prompt or refine your own text with AI suggestions.

To Create an HTML Template

  • Drag and drop content blocks from the right sidebar into the email body on the left.
  • Add items to each section as desired. Customize the email design with options in the right sidebar.
  • Pro tip: To insert an email that was already designed in HTML, add the HTML block to the email, and paste the code.

Set Up the “From” Email Address

  • In the “From” section, click “Add Account”.
  • Choose between Google or Microsoft email accounts.
  • Grant SuperMail permission to send emails on your behalf. Make sure to tick all the boxes or SuperMail will not be able to send.
  • Customize the sender name by clicking the pen icon on the From line to display the team name or individual sender’s name and create a friendly first impression.

Compose the Subject Line + Preview Text

  • Enter the subject of the email.
  • To access the preview text, click on the three dots next to your avatar, then “Email preview text. The email preview line will appear under the subject line.
  • Pro tip: Personalize the subject line by inserting column values using curly braces (e.g., {{First Name}}) found to the right of the screen. Add emojis to make the subject and preview texts more engaging.

Add Static Recipients

  • Click the person icon in the top-right corner.
  • Add email addresses that should always receive this template (e.g., your team lead in CC).

Send Now

  • Use the Send now button at the bottom of each template to send the mail instantly to the intended recipient or send a test to see what the email looks like before setting up your email trigger.
  • Pro tip: We recommend sending SuperMails via automation, but the Send Now feature offers a convenient opportunity for a one-off instant send or for testing. There is no way to undo a Send Now mail, so exercise caution before hitting the trigger.

Automate Your Email Sends

  • Go to the monday.com Automation Center and search for SuperMail integrations.
  • Choose triggers and actions from SuperMail’s custom automation recipes:
  • Pro tip: Enterprise users can set full SuperMail email sequences in monday.com’s Workflow Center.
  • Pro tip: SuperMail can send email to text, email, and person mirror columns.

Bulk Email Sending

  • SuperMail supports sending bulk emails, depending on your email provider’s limits.
  • For Gmail and Outlook, ensure you adhere to their respective sending limits.
  • Pro tip: When sending bulk emails, send no more than 250 emails every hour, to avoid triggering your email provider’s spam trigger. Learn more about email spam triggers here.

Send Emails via SuperMail Dialog

  • Open an item on your board.
  • Click on the Updates bubble, then the “+” icon to add a new view.
  • Search for and select SuperMail Dialog.
  • Sign in with your email provider if prompted.

In SuperMail Dialog you can:

  • View all email conversations related to the item.
  • See a timeline of actions:
    • Emails sent and received
    • Email opens and link clicks
    • Status changes via email buttons
  • Reply directly within the dialog using the SuperMail editor.
  • Set dialog visibility by clicking the widget icon in the top right of the SuperMail Dialog view.
    • Private: only you can see the conversation
    • Public: Anyone with access to the item can view the conversation
