How to Create Designed Emails in monday.com

SuperMail’s HTML (drag-and-drop) editor allows you to send professional, branded emails, directly from monday.com. You can use it to build newsletters, event invitations, approval requests, and more. Add images, buttons, and links to make your emails engaging and actionable. Best of all, these elements connect directly to your monday.com board data, giving you far more flexibility than monday.com’s basic email features.

What You Can Do with the HTML Editor

  • Create beautiful emails with drag-and-drop blocks
  • Add headers, images, buttons, links, and attachments
  • Add approval buttons that update status columns directly from the recipient’s inbox
  • Support right-to-left (R2L) languages
  • Send to recipients listed in People, Email, or Text columns (including mirrored columns)

Getting Started

Before getting started, make sure you have the following things set up:

  • A monday.com board with SuperMail installed
  • A connected Google or Microsoft account for sending emails 
  • Note: If using mirrored columns from another workspace, SuperMail must be available on both workspaces.
  • Note: You can connect multiple email accounts to SuperMail.

Opening the Editor

  • Open the SuperMail board view
  • Click the Create new template button
  • Choose the HTML editor

Adding and Arranging Blocks

  • On the right sidebar, you’ll see a list of content blocks (text, image, button, divider, HTML, etc.)
  • Drag a block from the sidebar into the canvas on the left to add it to your email
  • Pro tip: Use the “Column” block to arrange different elements horizontally.
  • To move a block, hover over it, click on the arrow that appears, and drag it into a new position
  • To duplicate a block, hover over it and click the clone icon.
  • To delete a block, hover and click the trash/delete icon.

Privacy settings can be configured individually for each of the email addresses you have access to that are connected to the item.

Editing Text Blocks Content

There are two ways to edit text blocks.

  • For quick changes such as adding bullets and emojis or bolding specific content, hover over the text box until a mini-editor opens, and design your text accordingly. Here you can also configure auto-populated fields from existing board data
  • In the right-side navigation you’ll find more advanced ways to edit text blocks including changing the font size, letter spacing, line height, and more

  • Use the “Add subitem” icon to insert subitems in a list or table view to include all relevant board data in your email.

Editing Image Blocks

Images can be added to image blocks in one of two ways:

  • Upload the image in the right sidebar
  • Insert the image URL in the right sidebar

Changes to image placement can also be done in the right sidebar:

  • Add ALT text
  • Add a link to the image
  • Add padding to the image

Editing the Overall Design

To edit the general style of the email, click on the background of the email body and open the right sidebar editor. There, you can edit different aspects of the email including the column background, row background, padding, background image, borders, and more.

Set the “From” Sender

  • In the template, click the From section
  • Follow the prompts to connect your Google or Microsoft account. Once the account/s are set up, you can choose the relevant email account from the options provided.
  • Edit the display name to show a friendly sender name

Add Subject and Preview Text

  • Enter the email Subject line.
  • Open the menu (three dots) and add Preview text (the snippet shown in inboxes).
  • Use curly-brace placeholders to insert board data if desired.

Add Buttons and Links

  • Insert change status buttons to update Status columns (e.g. for approvals, confirmations, or unsubscribe) by clicking on the change status button
  • Insert buttons to direct readers to other resources by using the button block from the right sidebar

Choose Recipients

  • For dynamic sending, click the Send now button and select the recipient(s)
  • Map People, Email, or Text columns from your board
  • To configure a static recipient (someone who receives a copy of every email), click on the person icon at the top right of the HTML editor and enter the recipient’s details in the “To” line that appears
  • You can also configure static CC and BCC recipients
  • Use To, CC, and BCC fields as needed
  • Mirrored columns for email, text, and people columns are supported

Send Now or Automate

Send Now (manual send):

  • Click Send now to send your email immediately 
  • Pro tip: The Send now button can also be used to send yourself a test email before sending out a bulk mailing.
