Creating gorgeous emails inside monday.com should not require starting from a scratch every time.
SuperMail’s gallery of professionally-designed, pre-built email templates can be built in monday.com and used to send mails via Gmail or Outlook. With SuperMail, you can create professional emails in minutes, customize them for your brand, and save them for future use across your company.
Why Use SuperMail Email Templates?
Email templates help your team send consistent, branded emails without manually formatting every email.
This is useful for:
- Newsletters
- Product updates
- Customer announcements
- Internal updates
- Follow-up emails
- Event invitations
- Onboarding messages
Choose to build an Outlook or Gmail template from scratch or start with a ready-made design.
How to Build SuperMail Templates
- Navigate to the SuperMail tab.
- Go to the Templates tab.
- Select HTML Gallery.
- Click Create New Template.

- Choose from a pre-built template, or select ‘Create from scratch’ to build your own reusable Gmail or Outlook email template.

When you find a template you want to use, click on it, then click Use Template.

This opens the template editor, where you can begin customizing the email.
- Pro tip: Make sure the template has a clear name so you and your team can find it again later.
Customize the Template
After selecting a template you can easily update the design so it matches your brand and message.
Change elements such as:
- Logo
- Title
- Images
- Text
- Spacing
- Padding
- Layout details
- Buttons
- Colors
- Other design elements
All of the changes can be done directly in the right side editor.
- Pro tip: To update a template across all boards, click ‘Edit gallery template’ then make the changes you want. When saved, all changes will become the new default version and will be available to everyone with access to your monday.com boards.

Set the Email Details
Once the design is ready, configure the email settings.
- Choose the sender account.
- Add the sender name.
- Insert the subject line.
These details help make sure the email is sent from the right account and appears correctly in the recipient’s inbox.

Save the Template
After you finish editing the email, click Save.
Your Gmail or Outlook template will now be available for future use, so you do not need to recreate the same design the next time you want to send a similar email.
If you want other people in your company to use the template across boards, you can save it to the Template Center.
To do this, click the three dots in the top-right corner and select Save to Gallery (see image above).
This makes the template available more broadly, so your team can reuse the same branded email design instead of creating separate versions on different boards.
After saving the template to the Gallery, go back to Create New Template.
You’ll now see your saved email in the Template Center.
From there, you or your team members can select it, customize it if needed, and use it again.
- Note: When reusing a template with customized dynamic fields (such as first name), you will be asked to map the dynamic fields before using the template. This is to ensure the accuracy of the data being pulled into the email.

Best Practices for SuperMail Templates
To get the most value from SuperMail templates, keep your designs reusable.
Use clear template names, such as:
- Monthly Newsletter
- Product Update
- Event Invitation
- Customer Announcement
- Follow-Up Email
- Internal Update
You should also keep the core branding consistent across templates, including your logo, colors, sender name, and footer information.
If multiple team members send emails from monday.com, saving approved templates to the Gallery can help keep every message aligned with your brand.
SuperMail’s template gallery makes it easier to create designed emails for both Gmail and Outlook directly inside monday.com. This helps save time while keeping every email polished and consistent.
Instead of rebuilding each email from scratch, SuperMail gives you a faster way to design, save, and reuse branded email templates across your monday.com workflows.
