How to Embed Change Status Buttons in SuperMail

SuperMail Change Status Buttons

Last updated on

SuperMail allows you to embed action buttons in your emails that update status columns in monday.com directly, eliminating the need for manual updates and extra clicks. This is particularly useful when you want to give recipients a quick way to update progress, approve work, acknowledge tasks, RSVP to events, and more – all without logging into monday.com.

Read on to learn how to embed and configure status change buttons in a SuperMail template.

Before You Get Started

To use SuperMail status change buttons, make sure you have the following:

  • A SuperMail template set up (in any SuperMail editor)
  • A status column configured with the labels you want to offer your recipients

Navigate to the SuperMail tab and open the template that will house the status change button. Once these are in place, you’re ready to begin.

Insert a Status Change Button

From the content panel, click the change status button icon.

Configure the relevant fields:

  • Select the column the button will be changing
  • Choose the status you want the recipient to select
  • Adjust the button text  (optional) – for example, change “Yes” to something more fun like “I’m In!”

Optional Button Customizations

  • Toggle on the custom message button to insert a custom message on the status change confirmation page (optional)
  • Toggle on the click limit button to limit the number of submissions for a specific button (optional). This is useful when only one response is needed, even if the email is sent to multiple people.
  • Track changes to create an update in the item every time a button is clicked.
  • Pro tip: Avoid vague button text like “Click Here.” For best results, the recipient should immediately understand what the button will do.

Test the Button

Before sending your email, use SuperMail’s Send Now button to send a test with the email.

Click the button and confirm that:

  • The button(s) appear correctly in your email
  • The landing page displayed after the button is clicked includes the text you provided.
  • The correct column is affected
  • The correct status is changed
  • The item is updated properly (if the ‘track changes’ toggle is on)

You can also confirm the change using monday.com’s Activity Log, if needed.

The button should look like this:

  • Note: status change buttons are tied to a specific item in monday.com. That means even if the email is forwarded, anyone who clicks the button will update the original item. This helps ensure consistent tracking, but it’s important to share SuperMail only with people who should have access to make those updates.

Save and Use the Template

Once you’ve confirmed everything works correctly, save the template.

You can now use it in:

  • Manual email campaigns
  • Automated messages
  • Triggered workflows (for example, requests for a double opt-in to a newsletter)

The status button will remain functional as long as the underlying item, board, and column settings remain unchanged.

Common Use Cases

Status buttons are typically used in workflows where response time matters and where the user isn’t always in monday.com. Examples include:

  • Internal project updates: Allow stakeholders to confirm task completion or progress from an email
  • Client feedback requests: Let clients approve or reject work with a single click
  • HR and recruiting workflows: Enable quick status updates for candidates directly from team emails
  • Unsubscribe button: Remain GDPR compliant with a clear, easy-to-use unsubscribe button in every email
